BrightStar Care of Baraboo is hiring an Office Manager / Scheduler (Customer Care Manager) to support daily office operations, scheduling, and care coordination for our clients and caregivers.

Responsibilities

What You’ll Do

Support Clients & Families (Care Coordination)
  • Be a trusted point of contact for clients, families, and caregivers
  • Check in regularly to ensure care is going well
  • Help coordinate services and respond to questions or concerns as part of your role in care coordination
  • Maintain accurate client records and care documentation
  • Participate in care planning and team discussions
  • Ensure care meets company standards and The Joint Commission requirements
Scheduling & Staffing (Scheduler / Staffing Coordinator)
  • Create and manage caregiver schedules as a scheduler / staffing coordinator
  • Fill open shifts quickly to ensure clients are always supported
  • Help balance schedules to reduce overtime and last-minute gaps
  • Support payroll and time tracking
Support & Lead Caregivers
  • Be a go-to resource for caregivers in the field
  • Help onboard and train new team members
  • Provide coaching, guidance, and day-to-day support
  • Assist with performance reviews and feedback
Office Support (Office Manager / Administrative Role)
  • Support daily office operations and administrative tasks
  • Answer phones and support office communication
  • Keep records and reports organized and up to date
  • Work closely with a small, collaborative team

Skills & Qualifications

What We’re Looking For
  • High school diploma (required)
  • 2+ years of office management, scheduling, staffing, or leadership experience
  • Healthcare, home care, or caregiving experience (preferred)
  • Strong communication and organization skills
  • Ability to manage multiple priorities in a busy office environment
  • Comfortable working with both clients and caregivers
  • Valid driver’s license and reliable transportation
Schedule
  • Full-time, in-office
  • Monday–Friday, 8:30 AM – 5:00 PM
  • Participation in after-hours on-call rotation
